In her work with various offices throughout the years, Natalie has found that the practices with the lowest ratio of past due patient accounts have established a clear and consistent way of sharing the office financial expectations throughout the new patient process to avoid confusion later in treatment. Financial information is carefully scripted so that the most common financial questions are answered before they are even asked. Natalie will share the various forms, documents, and precise scripting that will help your treatment coordinators and financial staff fine-tune their financial presentation. This will allow them to achieve that careful balance between the need to collect money owed in a timely fashion while maintaining good relationships and open communication with your orthodontic families.

Natalie Beaton: Keep Them Coming! Building and Promoting a Rock-Solid Observation Program

    Monday, August 13, 2018 7:30 PM - 8:30 PM CST (Register here)

Unscheduled or past due observation patients typically occur for two reasons: inconsistent follow up and a failure to build a strong sense of perceived value in these appointments. Having a strong and consistent observation follow-up protocol supported by ViewPoint and Edge Cloud observation tools and reports can ensure you don't lose sight of these incredibly valuable patients. In addition to careful follow up, Natalie believes that you set your observation program up for success or failure by how you educate parents about the value of these visits when you first discuss it at the NP exam. Parents are not going to schedule consistently until I understand why that is so important.

This webinar will review everything from scripting and an observation handout sheet at the NP exam, to careful review of specific reports and software tools so that no observation patient slips through the cracks, and finally, a consistent step-by-step outline of how to build perceived value in these visits at the new patient exam to keep them coming! Natalie will share everything you need to have a highly successful observation program for your specific practice.

Natalie Beaton: Building a Connection: Staff Lunch and Learns with Hygienists

    Monday, October 15, 2018 7:30 PM - 8:30 PM CST (Register here)

Most orthodontic offices have a system in place so that the orthodontist meets with general dentists on a regular basis. Building relationships directly between the doctors can be highly effective but overlooks a key piece of the referral process – the hygienists. If a general dentist gives several names when referring patients for orthodontic care, frequently the hygienist subtly influences the patient’s decision as to whom to call.

Scheduling informal staff lunch meetings between a few of your staff and the hygienists of a referring office can have a HUGE impact on your referral program, and does not require trying to coordinate with a doctor’s busy schedule. Natalie will review every step you can take to use this valuable program in your practice immediately, and will share a checklist she developed for an article in the JCO. Natalie has helped many orthodontic offices immediately implement this highly successful program in their practices and will be delighted to do the same for your practice.

Working with Ortho2 clients, Natalie spends a fair amount of her time running, analyzing, and interpreting Ortho2 practice reports. Her extensive experience and understanding of both ViewPoint and Edge Cloud reporting tools can be put to use in your own practice to accurately pinpoint the systems and protocols that may need attention.
